This Privacy Policy applies to S Five Vision Media, LLC ("S Five Vision Media," "we," "us," or "our"), a photography studio based in Watertown, Wisconsin. We operate the website sfivevisionmedia.com and related services including booking, client communication, and newsletter distribution.

This policy explains what personal information we collect, how we use it, and what choices you have. By using our website or services, you agree to the practices described here.

Information we collect

We collect information you provide directly to us and information generated through your use of our website and services.

Information you provide:

  • Name, email address, and phone number when you submit a contact form or inquiry
  • Graduation year and service interest when you complete a booking inquiry
  • Email address when you subscribe to The Vision Drop newsletter
  • Any other information you choose to include in a message or form submission

Information collected automatically:

  • Basic server logs, including IP address, browser type, and pages visited, collected by our web hosting provider (WordPress/hosting infrastructure)
  • Cookies used by WordPress for core site functionality (see Section 6)

We do not use Google Analytics, Facebook Pixel, or other third-party tracking or advertising tools on this website.

How we use your information

We use the information we collect only to operate our business and communicate with you. Specifically, we use it to:

  • Respond to inquiries, questions, and booking requests
  • Schedule and manage photography sessions and services
  • Send booking confirmations, session reminders, and gallery delivery notifications
  • Send The Vision Drop newsletter and marketing updates to subscribers who have opted in
  • Improve our website and understand how people find and use it
  • Comply with legal obligations

We will never sell your personal information. We do not use your information for automated decision-making or profiling.

How we share your information

We do not sell, rent, or trade your personal information to third parties for their own marketing purposes. We may share your information only in the following limited circumstances:

  • Service providers: We use a small number of third-party tools to operate our business (described in Section 5). These providers access your information only to perform services on our behalf and are not permitted to use it for any other purpose.
  • Legal requirements: We may disclose your information if required to do so by law or in response to a valid legal request, such as a subpoena or court order.
  • Business transfers: If S Five Vision Media is acquired, merged, or its assets are transferred, your information may be transferred as part of that transaction. We would notify you before your information is subject to a different privacy policy.
  • With your consent: We may share your information for any other purpose with your explicit consent.

Third-party services we use

We use the following third-party services in our business. Each has its own privacy policy that governs how they handle data.

Kit (ConvertKit) — We use Kit to manage The Vision Drop newsletter. When you subscribe, your email address is stored in Kit. Kit may use cookies to track email engagement. You can unsubscribe at any time using the link in any email we send, or by contacting us directly. Kit's privacy policy is available at kit.com/privacy.

Calendly — We use Calendly to manage planning call bookings. If you book a call, you provide information directly to Calendly, which is subject to their privacy policy at calendly.com/privacy. We receive the information you enter (name, email, any notes) as part of the booking.

Pixieset — Client photo galleries are delivered through Pixieset. Clients access their galleries directly on the Pixieset platform. Pixieset's privacy policy is available at pixieset.com/privacy.

Payment processors — Payments for sessions and services are processed through third-party tools (such as PayPal, Square, Venmo, or HoneyBook depending on the service). We do not collect or store your payment card information directly. Please review the privacy policy of the specific payment tool used for your transaction.

WordPress and web hosting — Our website is built on WordPress and hosted through a third-party web host. Standard server logs may capture IP addresses and browser information. WordPress uses functional cookies for site operation.

 

A note on social media: Our social media pages on Instagram, Facebook, and TikTok are operated by their respective platforms, which have their own privacy policies. When you interact with us on social media, your information is subject to those platforms' terms.

Cookies

Cookies are small text files stored on your device when you visit a website. Our website uses a limited number of cookies.

Strictly necessary cookies: WordPress sets functional cookies required for the website to operate correctly — for example, to remember your session or preferences. These cannot be disabled without affecting site functionality.

No advertising or tracking cookies: We do not use advertising cookies, cross-site tracking cookies, or analytics cookies (such as Google Analytics or Meta Pixel) on this website.

You can control and manage cookies through your browser settings. Most browsers allow you to refuse cookies or delete them after the fact. Note that disabling cookies may affect the functionality of some parts of the site.

Your images and portfolio use

When you book a photography session with S Five Vision Media, your session images may be used by us for portfolio purposes — including on our website, social media, and marketing materials — unless you request otherwise in writing prior to or at the time of your session.

We will never identify minors by full name on public platforms. For clients who are minors, we typically use first name only or no name at all when sharing images publicly.

If you would like your images removed from our portfolio or social media after they have been published, please contact us at info@sfivevisionmedia.com and we will honor that request promptly.

Client galleries delivered through Pixieset are private and password-protected by default. Only clients with the gallery link and password can access their images.

Data retention

We retain personal information for as long as necessary to provide our services and comply with legal obligations.

  • Client records (booking information, session details) are retained for a reasonable period after your session is complete, typically up to three years, to support any follow-up needs or disputes.
  • Newsletter subscriber data is retained for as long as you remain subscribed to The Vision Drop. You can unsubscribe at any time using the link in any email, which will remove you from future mailings.
  • Contact form submissions are retained in our email or CRM system until no longer needed for follow-up.
  • Server logs are retained per the default practices of our web hosting provider, typically 30–90 days.

When we no longer need your information, we delete or anonymize it in a reasonable manner.

Your rights and choices

You have the following rights with respect to your personal information:

  • Access: You can request a copy of the personal information we hold about you.
  • Correction: You can ask us to correct inaccurate or incomplete information.
  • Deletion: You can request that we delete your personal information, subject to any legal obligations we may have to retain certain records.
  • Opt out of marketing: You can unsubscribe from The Vision Drop at any time using the unsubscribe link in any email, or by contacting us directly. Unsubscribing from marketing emails will not affect transactional emails related to an active booking or service.
  • Withdraw consent: Where we rely on your consent to process your information (such as for newsletter subscriptions), you can withdraw that consent at any time.

To exercise any of these rights, please contact us using the information in Section 12. We will respond to your request within a reasonable timeframe.

We will not discriminate against you for exercising any of these rights.

Children's privacy

A significant portion of our clients are minors, including high school seniors and athletes under the age of 18. We take the privacy of minors seriously.

We do not knowingly collect personal information directly from children under the age of 13 through our website. Inquiries and bookings for minors are typically submitted by a parent or guardian.

If you are a parent or guardian and believe we have collected personal information about your child without your consent, please contact us immediately at info@sfivevisionmedia.com and we will promptly address the situation.

As noted in Section 7, we take care with how we share images of minors publicly, and we will honor any parental request to remove images from our platforms.

California residents — CCPA rights

If you are a resident of California, the California Consumer Privacy Act (CCPA) provides you with specific rights regarding your personal information. This section describes those rights and how to exercise them.

Your CCPA rights:

  • Right to Know: You have the right to request that we disclose the categories and specific pieces of personal information we have collected about you, the categories of sources from which that information was collected, the purposes for collecting it, and the categories of third parties with whom we share it.
  • Right to Delete: You have the right to request that we delete personal information we have collected from you, subject to certain exceptions permitted by law (for example, if we need to retain the information to complete a transaction or comply with a legal obligation).
  • Right to Correct: You have the right to request that we correct inaccurate personal information we hold about you.
  • Right to Opt Out of Sale or Sharing: We do not sell or share your personal information for cross-context behavioral advertising. You do not need to opt out, but you have this right and we will always honor it.
  • Right to Non-Discrimination: We will not discriminate against you for exercising any of your CCPA rights. We will not deny you services, charge you different prices, or provide you a different level of service because you exercised a right under the CCPA.

Categories of personal information collected: In the past 12 months, we have collected the following categories of personal information as defined by the CCPA: identifiers (name, email, phone number, IP address); commercial information (service inquiries and bookings); and internet or other electronic network activity information (server log data from website visits).

How to submit a request: To exercise any of your CCPA rights, please contact us by email at info@sfivevisionmedia.com with the subject line "CCPA Privacy Request." We will verify your identity before processing your request and respond within 45 days. If we need more time, we will notify you of the extension.

You may also designate an authorized agent to make a request on your behalf. We may require written authorization from you confirming the agent's authority to act on your behalf.

Note: This CCPA section is provided for California residents. Residents of other states with similar privacy laws (such as Virginia, Colorado, or Connecticut) may have comparable rights. If you have questions about your rights as a resident of another state, please reach out and we will do our best to assist you.

We may update this Privacy Policy from time to time to reflect changes in our practices, services, or legal requirements. When we make material changes, we will update the "Last updated" date at the top of this page.

We encourage you to review this policy periodically. Continued use of our website or services after any changes are posted constitutes your acceptance of the updated policy.

For significant changes that materially affect how we handle your information, we will make reasonable efforts to notify you directly — for example, by email if you are a newsletter subscriber.
